Sample walkthrough · Synthetic data
From three invoices to one checkable finding.
This simplified example uses fictional suppliers and invented transactions. It illustrates a review process, not a customer result or a prediction of your savings.
1. Organize the source records
USD · excluding tax| Invoice | Supplier | Category | Business unit | Amount |
|---|---|---|---|---|
| INV-1042 | Example Components | Components | Manufacturing | $1,200 |
| INV-1043 | Example Freight | Transport | Logistics | $800 |
| INV-1044 | Example Services | Maintenance | Manufacturing | $600 |
| Total sample spend | $2,600 | |||
2. Compare the invoice with its order
For invoice INV-1042, assume the matching order PO-204 contains the same item, PART-A, and quantity of 100 units. The invoice unit price is $12; the order unit price is $10.
- Invoice line · 100 × $12
- $1,200
- Order line · 100 × $10
- $1,000
- Potential price discrepancy
- $200
3. Review before counting a saving
Keep the invoice reference, order reference, item, dates, quantities and calculation with the finding. Confirm that the order is the right match and check approved price changes, freight, tax and any credit already issued.
Review status: not recovered. The $200 is an illustrative discrepancy. Only a confirmed credit or payment adjustment can establish the cash outcome.

Bring in your records
Import CSV, Excel or PDF files. Supplier names, invoice references, dates, amounts, categories and business units make spend easier to compare. Include purchase orders and receipts for transaction checks.
Compare your spend
Review suppliers, categories and business units using the information in your records. Check missing fields and inconsistent supplier names before drawing conclusions.
Validate the evidence
Use Transaction audit to check invoices against orders and receipts. A flagged discrepancy is a candidate for review, not proof that cash has been recovered.
Practical answers for finance teams
What is spend analytics?
Spend analytics organizes purchasing records so finance and procurement can understand who bought what, from which supplier, and for how much. It helps separate an opportunity worth investigating from a saving that has actually been verified.
Which categories and business units spend the most?
Compare amounts grouped by category and business unit. In the sample above, Manufacturing accounts for $1,800 and Logistics for $800. Components is the largest category at $1,200. Reliable answers depend on complete, consistently labelled source records.
Are we paying the agreed price?
Compare an invoice line with its purchase-order line, including item, date, quantity and unit price. The sample check shows a $2 unit-price difference across 100 units. Finance should confirm the match and any agreed adjustments before seeking a credit.
Does using multiple suppliers mean we can save money?
Not necessarily. Similar purchases from several suppliers can suggest a consolidation opportunity, but specifications, delivery requirements and contract terms must be checked before assuming a saving.
What files should we prepare?
Start with an invoice or spend export containing supplier, invoice reference, date and amount. Add categories and business units for spend comparisons, and line items, quantities and unit prices for detailed checks. Purchase orders and goods receipts provide comparison evidence. CSV, Excel and PDF uploads are supported, up to 10 MB per file; PDF extraction requires an active plan or trial and should be reviewed for accuracy.
Do I need to share confidential data to see a demo?
No. The public demo uses synthetic records and needs no signup. A Guided Value Assessment starts with sample data and a person reviews your request. Agree the scope and data-sharing requirements before providing confidential records.
See the evidence before sharing your data.
Walk through Opportunities, Spend, Leakage and Recovery in the public demo. Or request a Guided Value Assessment: a person reviews your request and starts with sample data.
